What you can look forward to
Your role will involve a diverse mix of office management, HR, and sales support. You will be the crucial link for all key processes within the company:
Administration and Finance:
- Monthly Reporting: You will communicate with our accountant and ensure they have all necessary documents and information on time (attendance records, invoices, reports for business trip expense settlements, etc.).
- Management of suppliers, supplier contracts, and ensuring internal processes comply with standards.
Office and HR Management:
- Ordering office supplies and ensuring the smooth running of the office.
- Purchasing and inventory management of technical equipment.
- Support for branch management.
- Coordination and support of HR processes, caring for employees and candidates (organizational support for onboarding new employees, managing candidates and handling part of the HR agenda within our internal system, assisting with internal event organization).
- Contact with authorities and handling official matters.
Sales Support and Project Assistance:
- Data management within the CRM system.
- Preparation of sales materials: assisting with proposal preparation, editing presentations, and creating various reports and graphs.
- Actively searching the internet for companies and acquiring contacts for the sales team.
- Support for selected projects (overviews, spreadsheets, scheduling, invoicing, communication with involved team members).
What are our expectations
- You are an excellent organizer and know how to prioritize tasks effectively.
- You already have experience in a role where you handled at least some part of this agenda. We are happy to explain what's necessary, but we need you to be a pro who can navigate unexpected situations.
- You have availability for approximately a half-time commitment (we anticipate gradual expansion in the future).
- You are a native Czech speaker and fluent in English. Extra points if you can also communicate in German.
- You can handle various office software and are not afraid to learn a new system.
- You enjoy communicating with people – you know how to get what you need without issue.
- You are independent and proactive – you can manage tasks yourself and bring forward ideas on how to improve processes.
- You are reliable, meticulous, and wouldn't leave a job unfinished.
- You are a trustworthy partner whom the team can rely on.
